Events and broadcast terms

1. A specific project proposal

Each conference, event or live broadcast requires a proposal stating date, venue or online platform, format, audience, programme, speakers, agreed outputs, responsible parties and the production timetable. “Turnkey” refers only to the scope expressly agreed.

Consulting time packages apply to consulting and planning. Production, staffing, venue hire, equipment, travel, advertising, licences and external suppliers require a separate budget approved before any commitments are made.

2. Budget and third-party commitments

The proposal identifies who contracts and pays suppliers, approval limits, deposits, payment dates and any permitted expenses. Supplier cancellation terms and material technical restrictions are disclosed before commitments are approved. There are no unapproved purchases or implied unlimited production costs.

3. Recordings, speakers and personal data

Recording, broadcasting and reuse of speaker or attendee images, voices, slides and personal data require appropriate information, rights and permissions. The proposal defines distribution channels, recording access, reuse and retention. No permission for promotional reuse is inferred from attending.

A project involving registration lists, ticketing, CRM exports or attendee records requires appropriate privacy information, role allocation and processor contracts where applicable before data is shared. Ticket sales, if any, need their own applicable sales terms.

4. Technical tests, changes and cancellation

The parties agree tests, platform and connection requirements, backup arrangements, delivery criteria and incident contacts. No uninterrupted stream, attendance number, revenue or client outcome is guaranteed.

Date changes, cancellation, supplier refunds and exceptional events are addressed in the proposal. These conditions cannot override mandatory consumer rights or impose an automatic blanket waiver of withdrawal.
